Technically speaking, having “information about information” may not be sexy and definitely not the topic for happy hour chats, but it can keep you out of trouble when you need to look at mountains of documents and figure out who worked on what, what content changes were made, what was added, deleted, etc. On the flip side, this can also get you into a heap of trouble for the same reasons. Enter iScrub, our metadata (info about info) management tool, that will not only let you scrub documents before they leave your watchful eye but also let you lock them down to limit future tampering. Intrigued by Process: Ok, so you know you need a metadata tool, but you don’t understand the exact process once you sign the dotted line. Here’s a brief overview of what to expect.
1. Create a roll-out plan: Form a metadata management committee that is made up mostly of attorneys - you need attorney buy-in as this an ethical and firm wide standard;
Train the metadata management committee on MS Office metadata so they can make an informed and educated decision on how metadata will be managed in the firm;
Determine how the firm is going to manage metadata - use the iScrub configuration file (see documentation in iScrubs Admin Guide) as the guide to determine what iScrub levels will be used and decide what and how metadata will be managed at each level.
Pick pilot group to test iScrub on their desktops. Train them.
2. Regularly sign up for Esquires Webettes - A webette is a one hour live training session with Esquire consultant on a particular feature of a product. This is one web connection for the firm that can be delivered to a class full of users.
3. Become familiar with Esquires Knowledgebase for product support.
